Privacy Policy
Effective date: September 28, 2026
1. Who we are
NorthSync is a bookkeeping business in New Liskeard (Temiskaming Shores), Ontario, owned and operated by Mykal Petersen as a sole proprietorship. This policy explains how NorthSync collects, uses, shares and protects personal information, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Questions about this policy go to Mykal Petersen at mykal@northsync.ca.
2. What we collect
- Contact details for our clients and their staff: names, business names, email addresses, phone numbers and mailing addresses.
- Business financial records our clients give us or authorize us to access: receipts, invoices, bills, bank and credit card statements, and data in the client’s accounting software (such as QuickBooks Online).
- Notes and context clients send with their documents, and our emails and messages with clients.
- Billing details needed to invoice our services. Payment card and bank details for our invoices are handled by our billing provider; we do not store them.
- Information submitted through forms on our website, and basic technical information our website needs to work (such as cookies required for forms).
3. Why we collect it
- To provide the bookkeeping services set out in each client’s engagement letter: recording transactions, keeping the client’s books, and preparing reports.
- To communicate with clients about their books and our services.
- To bill for our services.
- To meet our legal and professional obligations, including record-keeping rules.
We use personal information only for these purposes, or for another purpose with the person’s consent or where the law allows it. We do not sell personal information.
4. Service providers we use
NorthSync uses trusted service providers to store and process information on our behalf. Each receives only what it needs for its task and handles it under its own security and privacy commitments.
- Intuit QuickBooks Online: the accounting software where client books are kept.
- A cloud database service: our internal records of documents, entries and client work.
- A business email and file storage provider: email and document storage.
- Anthropic and OpenAI: artificial intelligence (AI) services we use to read documents and to draft and check bookkeeping entries. Under their business terms, these providers do not use information sent through their services to train their AI models.
- A cloud hosting provider in Finland: hosts the server that runs our automation software.
- A proposal and billing provider: proposals, engagement letters, invoicing and payment collection.
- An internal task-list app: our task list, which can include short notes about client work.
A current list of our service providers by name is available to clients on request at mykal@northsync.ca.
How we use AI. NorthSync uses AI tools to read documents and to draft and double-check journal entries. A second, independent AI check reviews each entry, and anything uncertain comes to Mykal for review. Mykal is responsible for the work NorthSync delivers.
5. Storage outside Canada
Some of the providers above store or process information in the United States, the European Union (Finland) and other countries outside Canada. While it is there, it is protected by the provider’s safeguards, but it may be accessible to courts, law enforcement and national security authorities of those countries under their laws.
6. How we protect information
- Information travels over encrypted connections, and accounts use strong passwords and multi-factor authentication where available.
- Access is limited to NorthSync’s owner. Clients’ information is never shared with other clients.
- Connections to accounting software use the software’s own secure sign-in (for QuickBooks, Intuit’s OAuth), and clients can disconnect NorthSync at any time.
- Our systems are backed up so records are not lost.
7. How long we keep information
We keep bookkeeping records and supporting documents for at least six years from the end of the last tax year they relate to, matching the Canada Revenue Agency’s record-keeping rule, and longer where the law requires. When a client relationship ends, we return or securely delete records once that period has passed, unless the client asks us to return them sooner.
8. Your rights
You can ask to see the personal information NorthSync holds about you, ask us to correct it, or withdraw consent (which may limit the services we can provide). Email mykal@northsync.ca and we will respond within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
9. Changes to this policy
We will post any changes on this page with a new effective date, and tell current clients about significant changes.
